Job description

We are looking for an Executive Assistant. Do you want to work in a fast-paced, exciting, growing organization? We are looking for someone to support our Executive Team in our Valencia office.

In this position, you are the one with superior attention to detail, great organization, and prioritization skills, you have the ability to plan ahead and meet tight deadlines, all while juggling multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with management and the ability to earn trust are important.

As the Executive Assistant, you will serve as a seamless extension of our directors' team, collaborating across our group of companies and start-ups, while working closely with colleagues throughout the entire organization. Your responsibilities include managing the ever-changing office environment, planning and organizing events of all sizes, coordinating domestic and international travel, processing expenses, and contributing to key team processes.

How you make an impact.

  • Managing an ever-changing office environment;

  • Coordinate travel arrangements and itineraries, and agenda management;

  • Support the Executive Team with various projects as needed;

  • Organizing, executing, and assisting with various team activities;

  • Tracking and driving completion of key actions and following up on outstanding items;

  • Communicate with internal and external stakeholders on behalf of the Executive Team

Job requirements

What we value in you.

  • 2+ years of experience assisting at the executive level in a fast-paced environment; /Prior experience in administrative positions (a start-up environment would be a plus)

  • Ability to handle administrative details independently, while keeping team members informed

  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company

  • Strong verbal and written communication skills in English and Spanish (Dutch is a plus)

  • Experience with event management, exceptional planning, time management, and organizational skills

  • Experience with international travel coordination & expense reconciliation

  • Grace in complex situations, and ability to switch gears at brief notice

  • Work effectively with international businesses and distributed teams

  • Ability to react with an appropriate level of urgency to situations and events that require quick response or turnaround

  • Positive, proactive, and able to have fun at work and help others do the same
